This privacy policy explains how we process your personal data if:
- You visit our job advertisements (you being a “Visitor”)
- You connect with us via Our Connect-site, to create a profile with us and receive information about current or future vacancies with us (you being a “Connecting Candidate”)
- You apply for a position with us, via our Career Site or a third party service (you being an” Applying Candidate”)
- We collect information about you from other parties, sites and services, since we believe your profile is of interest for our current or future vacancies (you being a “Sourced Candidate”)
- We receive information about you from our employees or partners, since they believe your profile is of interest for our current or future vacancies (you being a “Referred Candidate”)
- We receive information about you from a Candidate, who lists you as their reference (you being a “Reference”).
Personal data is any information that can be directly or indirectly associated with a living, physical person. Examples of personal data include name, email address, telephone number and IP address. Processing of personal data is any automated use of personal data, such as the collection, creation, analysis, disclosure and deletion of personal data.
There are laws and regulations on how companies can process personal data. These are called data protection laws. Different types of processing of personal data are governed by different data protection laws, and different laws apply in different parts of the world. An important example of a data protection law that applies to our use of your personal data as described in this Privacy Policy is the EU General Data Protection Regulation (2016/679, GDPR).

3. Purpose and legal basis for processing personal data
The personal data stored in the system is processed for the purposes of selecting persons for vacancies at Teknoware, processing job applications and carrying out recruitment.
In order to process your personal data, we need a so-called legal basis. The legal basis is the reason for using the data in accordance with the GDPR.
Where we process your personal data for the purposes described in this Privacy Policy, the legal ground is usually that the processing is necessary for our legitimate interests in order to recruit qualified talent. We have established that we have a legitimate interest in processing personal data for this purpose, that the processing is necessary to achieve this purpose and that our interest overrides your right to request that we not process your data for this purpose.
4. What personal data do we process?
All individuals
- Device information - If you visit our job advertisement, we will collect information about your device, such as IP address, browser type and version, session behaviour, traffic source, screen resolution, preferred language, geographic location, operating system and device settings/usage.
- Technical and statistical data - If you visit our job advertisement, we will collect technical and statistical data about your use of the site, such as information about which URLs you visit, and your activity on the site.
- Communications data - We will collect and store your communication with us, including the information you provided in the communication. This may include the content of emails, video recordings, messages on social media, the information you add to your account with us, surveys, etc.
- Contact details - Such as your name, email address, telephone number and physical address.
Candidates
- Data from interviews, assessments and other information from the recruitment process - Such as notes from interviews with you, assessments and tests made, salary requirements.
- Information in your application - Such as your CV, cover letter, work samples, references, letters of recommendation and education.
- Information in your public profile - Meaning the information we receive about you from public sources related to your professional experience, such as LinkedIn or the website of your current employer.
- Information provided by references - Meaning the information we receive from our employees or partners who refer you to us, or by the persons you have listed as your references.
5. Regular data sources
All individuals
- From the job advertisements. If you visit our job advertisements, we collect technical and statistical information about how you use advertisements and information from your device.
- Directly from you. Most of the information we process about you, we receive directly from you, for example when you apply for a position with us or connect with us. You can always choose not to provide us with certain information. However, some personal data is necessary in order for us to process your application or provide you the information you request to get from us.
References
- From the person for whom you are a reference. If a Candidate lists you as their reference, we will collect your contact details from the candidate to be able to contact you.
Candidates
- From public sources. We may receive personal data about you from public sources, such as LinkedIn or the website of your current employer.
- From our references. We may receive information about you from our employees or partners (such as recruitment service providers), when they believe your profile is of interest for our current or future vacancies.
- From your references. If you provide us with references, we may collect information about you from them.
- Data we create ourselves or in cooperation with you. Information about your application and profile is usually created by us, or by us in cooperation with you, during the recruitment process. This may for example include notes from interviews with you, assessments and tests made.
6. For how long do we keep your personal data?
Visitors
We keep your personal data for one (1) year for security purposes. The retention periods for cookies are set out in our -cookie policy. We keep your personal data to analyze the performance of the job advertisements for as long as we keep personal data about you for other purposes.
Connect
We keep the personal data of networked applicants for 6 months, after which they are automatically deleted from the register. You can also request the deletion of this data earlier by logging into your profile.
Candidates
We keep your personal data to decide if you are a suitable candidate for the relevant vacancies with us. If you don’t succeed in the initial recruitment process, we keep your personal data for as long as needed to consider or 6 months at most, and potentially contact you, for relevant future job openings.
References
We keep your personal data for as long as we keep the personal data of the Candidate for whom you acted as a reference. (max 6 months)
7. For what purposes do we process your personal data?
Protect and enforce our rights, interests and the interests of others, for example in connection with legal claims.

8. Whom do we share your personal data with?
Companies providing cookies on the job advertisements. If you consent to it, cookies are set by other companies than us, who will use the data collected by these cookies in accordance with their own privacy policy. You can find information about which cookies this applies to in our Cookie Policy.
To authorities and other public actors - when we are ordered to do so. We will share your personal data with authorities and other public actors when we have a legal obligation to do so.
To parties involved in legal proceedings. If needed to protect or defend our rights, we share your personal data with public authorities or with other parties involved in a potential or existing legal proceeding. This can for example be in case of discrimination claims.
Mergers and acquisitions etc. In connection with a potential merger, sale of company assets, financing, or acquisition of all or part of our business to another company, we may share your personal data to other parties involved in the process.
9. When do we transfer your personal data outside of the EU/EEA, and how do we protect it then?
We always strive to process your personal data within the EU/EEA area.
However, some of our service providers process your personal data outside of the EU/EEA. We also use suppliers whose parent company, or whose subcontractor’s parent company, is based outside the EU/EEA. In these cases, we have taken into account the risk that the personal data may be disclosed to countries outside the EU/EEA, for example because of an authority request.
In cases where another recipient of your personal data (as described in Section 8 above) is based outside the EU/EEA, this will also mean that your personal data is transferred outside the EU/EEA.
When we, or one of our suppliers, transfer your personal data outside the EU/EEA, we will ensure that a safeguard recognized by the GDPR is used to enable the transfer. We use the following safeguards:

Right to be informed.
You have the right to be informed about how we process your personal data. You also have the right to be informed if we plan to process your personal data for any purpose other than that for which it was originally collected. We provide you with such information through this privacy policy, through updates on our Career Site (see also Section 11 below), and by answering any questions you may have for us.
Right to access your personal data.
You have the right to know if we process personal data about you, and to receive a copy of the data we process about you. In connection with receiving the copy of your data, you will also receive information about how we process your personal data.
Right to rectification.
You have the right to request that we rectify inaccurate information, and that we complete information about you that you consider incomplete.
Right to withdraw your consent.
When we process your personal data based on your consent, you have the right to withdraw that consent at any time. If you do so, we will stop processing your data for the purposes you’ve withdrawn your consent for. However, it doesn’t affect the lawfulness of processing that was based on your consent before it was withdrawn.
Right to have your personal data deleted (“right to be forgotten”).
You have the right to have us delete personal data about you. The information you submit to the system will be kept for six (6) months, after which it will be automatically deleted. If you would like your data to be deleted earlier, please ask to be forgotten here.
Right to raise a complaint.
If you have complaints about our processing of your personal data, you can raise a complaint with the data protection authority in [country]. You can find their contact details here.

3. Henkilötietojen käsittelyn tarkoitus ja oikeusperuste
Järjestelmään tallennettuja henkilötietoja käsitellään valittaessa henkilöitä Teknowaressa avoimeksi tuleviin tehtäviin, työhakemusten käsittelemiseen ja rekrytoinnin toteuttamiseen.
Jotta voimme käsitellä henkilötietojasi, tarvitsemme niin kutsutun oikeusperusteen. Oikeusperuste on GDPR:n mukainen syy tietojen käyttämiseen.
Kun käsittelemme henkilötietojasi tässä tietosuojakäytännössä kuvattuihin tarkoituksiin, oikeusperusteena on yleensä se, että käsittely on tarpeen oikeutetun etumme vuoksi, jotta voimme rekrytoida päteviä osaajia. Olemme todenneet, että meillä on oikeutettu etu käsitellä henkilötietoja tätä tarkoitusta varten, että käsittely on tarpeen tämän tarkoituksen saavuttamiseksi ja että etumme on tärkeämpi kuin oikeutesi pyytää tietojesi käsittelemättä jättämistä tätä tarkoitusta varten.

- Laitetiedot - Jos käyt työpaikkailmoituksissamme, keräämme tietoja laitteestasi, kuten IP-osoite, selaintyyppi ja -versio, käyttäytyminen istunnon aikana, liikenteen lähde, näytön resoluutio, valittu kieli, maantieteellinen sijainti, käyttöjärjestelmä ja laitteen asetukset/käyttö.
- Tekniset ja tilastolliset tiedot - Jos käyt työpaikkailmoituksissamme, keräämme teknisiä ja tilastollisia tietoja sivuston käytöstäsi, kuten tietoja siitä, missä URL-osoitteissa vierailet ja mitä toimia teet sivustolla.
- Viestintätiedot - Keräämme ja tallennamme viestintäsi sisältämät tiedot, kun olet yhteydessä meihin. Tähän voivat sisältyä sähköpostiviestien sisältö, videotallenteet, viestit sosiaalisessa mediassa, tilillesi lisäämäsi tiedot, kyselyt jne.
- Yhteystiedot - Esimerkiksi nimesi, sähköpostiosoitteesi, puhelinnumerosi ja fyysinen osoitteesi.
Hakijat

- Julkisen profiilisi tiedot - Tiedot, jotka keräämme työkokemuksestasi julkisista lähteistä, kuten LinkedInistä tai nykyisen työnantajasi sivustosta.

5. Säännönmukaiset tietolähteet
Kaikki henkilöt
- Työpaikkailmoituksista. Kun vierailet työpaikkailmoituksissamme, keräämme teknistä ja tilastollista tietoa käytöstäsi ja laitteeltasi.
- Sinulta. Saamme suuren osan käsittelemistämme tiedoistasi sinulta, esimerkiksi kun haet työpaikkaa meiltä tai otat meihin yhteyttä. Voit aina olla antamatta meille tietojasi. Ilman henkilötietojasi emme kuitenkaan pysty käsittelemään hakemustasi tai antamaan sinulle pyytämiäsi tietoja.
Suosittelijat
- Henkilöltä, joka on ilmoittanut sinut suosittelijaksi. Jos Hakija on ilmoittanut sinut suosittelijaksi, keräämme yhteystietosi hakijalta, jotta voimme ottaa sinuun yhteyttä.
Hakijat
- Julkisista lähteistä. Voimme kerätä henkilötietojasi julkisista lähteistä, kuten LinkedInistä tai nykyisen työnantajasi verkkosivustosta.
- Suosittelijoiltamme. Voimme kerätä henkilötietojasi työntekijöiltämme tai kumppaneiltamme (kuten rekrytointipalveluntarjoajilta), jos he uskovat profiilisi olevan sopiva nykyisiin tai tuleviin avoimiin työpaikkoihimme.
- Suosittelijoiltasi. Jos ilmoitat meille suosittelijoita, voimme kerätä henkilötietojasi heiltä.
- Tiedot, jotka luomme itse tai yhdessä sinun kanssasi. Hakemustasi ja profiiliasi koskevat tiedot luomme yleensä itse tai yhdessä kanssasi rekrytointiprosessin aikana. Tämä voi sisältää esimerkiksi haastatteluja koskevat muistiinpanot, arvioinnit ja testit.
6. Kuinka kauan säilytämme tietojasi
Kävijät
Säilytämme henkilötietojasi yhden (1) vuoden ajan turvallisuussyistä. Evästeiden säilytysajat on määritelty -evästekäytännössä. Säilytämme henkilötietojasi työpaikkailmoitusten suorituskyvyn analysoimiseksi yhtä kauan kuin säilytämme henkilötietojasi muihin tarkoituksiin.
Connect
Säilytämme verkostoituneiden hakijoiden henkilötietoja 6 kuukautta, jonka jälkeen ne poistuvat automaattisesti rekisteristä. Voit myös itse pyytää näiden tietojen poistoa aikaisemmin kirjautumalla omaan profiiliin.
Hakijat
Säilytämme henkilötietojasi, jotta voimme päättää, oletko sopiva ehdokas avoinna oleviin työpaikkoihimme. Jos et pääse jatkoon alkuperäisessä rekrytointiprosessissa, säilytämme henkilötietojasi niin kauan kuin on tarpeen tai maksimissaan 6 kuukautta, jotta voimme harkita sinua tuleviin avoimiin työpaikkoihin ja mahdollisesti ottaa sinuun yhteyttä.
Suosittelijat
Säilytämme henkilötietojasi niin kauan kuin säilytämme sen Hakijan henkilötietoja, jolle olet toiminut suosittelijana. (max 6 kk)
7. Mihin käytämme henkilötietojasi?
Omiemme ja muiden etujen suojeleminen ja valvominen esimerkiksi oikeudellisten vaateiden yhteydessä.
Asianomaiset henkilöt: Henkilö(t), jota oikeudellinen asia koskee – tähän voi kuulua henkilöitä kaikista edellä luetelluista henkilöryhmistä.
Käytetyt henkilötietoryhmät: Kaikkia edellä lueteltuja henkilötietoryhmiä voidaan käyttää tähän tarkoitukseen.
Henkilötietojesi jakaminen muille vastaanottajille alla olevassa osiossa 8 mainittuihin tarkoituksiin.
Asianomaiset henkilöt: Vaihtelee luovuttamisen tarkoituksen mukaan, ks. osio 8 jäljempänä.

8. Kenelle luovutamme henkilötietojasi?
Yritykset, jotka tarjoavat evästeitä työpaikkailmoituksissamme. Jos annat siihen suostumuksesi, evästeitä käyttävät meidän lisäksemme muut yritykset, jotka käyttävät evästeiden keräämiä tietoja omien tietosuojakäytäntöjensä mukaisesti. Viranomaiset ja muut julkiset toimijat, jotka määräävät meidät luovuttamaan tietoja. Luovutamme henkilötietojasi viranomaisille ja muille julkisille toimijoille, kun meillä on lakisääteinen velvollisuus tehdä niin.
Oikeuskäsittelyn osapuolet. Jos se on tarpeen oikeuksiemme suojaamiseksi tai puolustamiseksi, luovutamme henkilötietojasi viranomaisille tai muille osapuolille, jotka ovat osallisina mahdollisessa tai käynnissä olevassa oikeuskäsittelyssä. Tämä voi koskea esimerkiksi syrjintää koskevia vaatimuksia.
Fuusiot, yritysostot jne. Voimme luovuttaa henkilötietojasi muille prosessiin osallistuville osapuolille mahdollisen fuusion, yrityksen omaisuuden myynnin, rahoituksen tai koko liiketoimintamme tai sen osan ostamisen yhteydessä toiselle yritykselle.
9. Milloin siirrämme henkilötietojasi EU-/ETA-alueen ulkopuolelle ja kuinka suojaamme niitä silloin?
Pyrimme aina käsittelemään henkilötietojasi EU-/ETA-alueella.
Jotkut toimittajamme ja niiden alihankkijat kuitenkin käsittelevät henkilötietojasi EU-/ETA-alueen ulkopuolella. Käytämme myös toimittajia, joiden emoyhtiö tai joiden alihankkijan emoyhtiö on EU-/ETA-alueen ulkopuolella. Olemme näissä tapauksissa ottaneet huomioon vaaran, että henkilötietoja voidaan luovuttaa EU-/ETA-alueen ulkopuolella oleviin maihin esimerkiksi viranomaisten pyynnöstä.
Tilanteissa, joissa toinen henkilötietojesi vastaanottaja (kuten kuvattu yllä olevassa osiossa 5) on EU-/ETA-alueen ulkopuolella, myös henkilötietojasi siirretään EU-/ETA-alueen ulkopuolelle.
Kun me (tai jokin toimittajistamme) siirrämme henkilötietojasi EU-/ETA-alueen ulkopuolelle, varmistamme, että käytämme GDPR:ssä hyväksyttyjä suojatoimia siirron mahdollistamiseksi. Käytössämme ovat seuraavat suojatoimet:
Kun henkilötietojasi siirretään EU-/ETA-alueen ulkopuolelle, otamme myös käyttöön asianmukaiset tekniset ja organisatoriset suojatoimet suojataksemme luovutettavia henkilötietoja. Mitä suojatoimenpiteitä tarkkaan ottaen otamme käyttöön riippuu siitä, mikä on teknisesti toteutettavissa ja riittävän tehokasta kyseessä olevassa siirrossa.

10. Mitä oikeuksia sinulla on ja kuinka voit käyttää niitä?
Jos haluat käyttää tässä lueteltuja oikeuksiasi, toimi seuraavasti:

Oikeus saada tietoa henkilötietojesi käsittelystä.
Sinulla on oikeus saada tietoa siitä, kuinka käsittelemme henkilötietojasi. Sinulla on myös oikeus saada tietoa siitä, jos suunnittelemme henkilötietojesi käsittelyä mihin tahansa muuhun tarkoitukseen kuin siihen, jota varten tiedot on alun perin kerätty.
Annamme sinulle tällaista tietoa tässä tietosuojakäytännössä, sivustomme päivitysten kautta (katso lisää alla olevasta osiosta 11) ja vastaamalla meiltä kysymiisi kysymyksiin.
Oikeus saada tutustua henkilötietoihin.
Sinulla on oikeus tietää, jos käsittelemme henkilötietojasi, ja saada jäljennös käsiteltävistä henkilötiedoistasi. Kun saat jäljennöksen tiedoistasi, saat myös tietoa siitä, kuinka käsittelemme henkilötietojasi.
Oikeus oikaista henkilötietoja.
Sinulla on oikeus pyytää, että oikaisemme epätarkat tiedot ja että täydennämme tiedot, jotka ovat mielestäsi puutteellisia.
Oikeus peruuttaa suostumuksesi.
Kun käsittelemme henkilötietojasi suostumuksesi perusteella, sinulla on oikeus milloin tahansa peruuttaa tämä suostumus. Jos teet niin, keskeytämme tietojesi käsittelyn niihin tarkoituksiin, joiden osalta olet peruuttanut suostumuksesi. Tämä ei kuitenkaan vaikuta suostumuksen perusteella ennen sen peruuttamista suoritetun käsittelyn lainmukaisuuteen.
Oikeus poistaa henkilötiedot (”oikeus tulla unohdetuksi”).
Sinulla on oikeus pyytää meitä poistamaan itseäsi koskevat henkilötiedot. Järjestelmään jättämäsi tiedot säilyvät kuusi (6) kuukautta, jonka jälkeen ne poistuvat automaattisesti. Jos haluat tietojesi poistuvan aikaisemmin, pyydä tulla unohdetuksi täältä.
Oikeus tehdä valitus.
Mikäli sinulla on valitettavaa henkilötietojesi käsittelystämme, voit tehdä valituksen maan ( Finland) tietosuojaviranomaiselle, jonka yhteystiedot löydät täältä.
Voit myös tehdä valituksen kansalliselle tietosuojavaltuutetulle, jotka on lueteltu täällä, jos asut EU:ssa. Jos asut Yhdistyneessä kuningaskunnassa, voit tehdä valituksen paikalliseen tietosuojavaltuutetun toimistoon täältä.
11. Tämän tietosuojakäytännön päivitykset
Päivitämme tätä tietosuojakäytäntöä tarvittaessa, esimerkiksi jos alamme käsitellä henkilötietojasi uudella tavalla, jos selkeytämme tietoja entisestään tai jos se on tarpeen sovellettavien tietosuojalakien noudattamiseksi.
